A client is looking to hire a qualified candidate for the position of a Finance and Administrative Officer.

Job Description 
Essential Job Functions: 
Budget and Finance 

  • Review, input and maintain budgets in Adaptive Insights cloud-based budgeting system; 
  • Maintain system to track revenues and expenditures for reporting on grants, contracts, and consultants per established procedures utilizing QuickBooks accounting system; 
  • Assist with internal and external project progress reports on a monthly basis or as needed; 
  • Provide managers with accurate reports and assist in analyzing budget variances; Track unbillable expenditures; 
  • Maintain direct communication with external partners; 
  • Review and audit financial reports from sub-contractors, sub-grantees, consultants; Track payments receivable; Manage contracts for deadlines and alert appropriate parties; 
  • Close out contracts in a timely fashion upon completion; 
  • Coordinate all field office financial reporting and accounting;
  •  Process and review/audit field office financial data; 
  • Review data and prepare wires requests for Tanzania country office and potential field offices; 
  • Assist in training of and support for field office financial staff; Reconcile general ledger accounts; 
  • Research any errors discovered during reconciliation process; 
  • Maintain and monitor financial policies and procedures, and provide recommendations for improvement and efficiency; 
  • Execute all A/R functions; Submit statutory deduction to a selected social security fund and Tanzania Revenue Authority (TRA); 
  • Prepare and file tax returns to TRA and other statutory taxes; 
  • Prepare and file Annual Returns to BRELA; 
  • Preparation and payment processing of Payroll either internally or through third-party (TBD) including collection of monthly timesheet data from all Tanzania based employees; 
  • Monitor bank balances and payments; 
  • Perform monthly bank reconciliations; 
  • Transmit QuickBooks and payroll data to responsible Senior Accountant in Seattle on a monthly basis along with additional documentation as required; 
Provide back up to other accounting staff and perform additional duties as determined by the Controller or finance leadership.


 General Administration 

  • Manage the day-to-day administrative resources of the office; 
  •  Select and negotiate with local service providers; evaluate vendor contracts; 
  • and manage payments to vendors and individual contractors for services; 
  • Manage office supplies and materials; 
  • Oversee the identification of office technology needs and maintenance of equipment, software and systems in coordination with the IT department; 
  • Liaise with building leasing manager to coordinate facility needs for the office; 
  • Ensure adequate maintenance of office space and facilities services; 
  • Assist in the organization of meetings held in-house or regionally (e.g., working groups, seminars, workshops, etc.), including travel, transportation and lodging arrangements; 
  • Manage and maintain project documents and files, including electronic and printed materials; 
  • Facilitate communications between global staff, as appropriate; 
Perform contract and grant administration tasks, contract compliance activities, reporting, preparing amendments/authorizations, pricing, and close-out.  

Program Administration 

  • Assist Tanzania Program Director and other team members with planning and managing projects in conformance with procedures on budgeting, human resource allocation, work planning, cost monitoring and control, travel planning, and product preparation and delivery; 
  • Provide operational and budgetary support to field-based projects;
  •  Plan and perform a variety of logistical tasks, including arranging for overseas translators, interpreters, transportation, and facilities rental; 
  • Report management: Assist with report management; compile and maintains an up-to-date inventory of all project reports and documents including monthly, quarterly and annual narrative reports, activity reports, trip reports etc.     Required Knowledge, Skills, and Abilities: 
  • Passion for the Organization’s mission to champion and secure land rights for millions of the world’s poorest women and men to provide opportunity and promote social justice; 
  • Through knowledge of accounting and ability to understand financial statements; Knowledge of non-profit accounting preferred;
  •  Ability to proficiently use QuickBooks, and the Microsoft Office Suite of products including Word, Excel, PowerPoint, Outlook; 
  • Superior oral and written communication skills in English;
  •  Professional work habits including accuracy, efficiency, thoroughness, dependability and the ability to meet deadlines; Strong problem-solving and information-gathering abilities; 
  • Ability to maintain a high level of confidentiality for all organizational, personnel, and research-related matters; 
  • Excellent cross-cultural skills and proven ability to work with people of varying backgrounds;

Education and Experience:

  • Bachelor’s degree in Accounting, Finance or related field (or an equivalent combination of education and experience); 
  • 5 or more years of related experience – preferably some experience in a nonprofit environment;
 Experience working with international organisations required
